This Policy applies to personal information we process about visitors to our website, prospective and current candidates, references, and representatives of our clients and suppliers, in the United States. Our services are directed to a US audience. If you contact us from outside the US, you do so on your own initiative and consent to your information being processed in the US.
2. Information we collect
Information you provide
- Identity and contact data — name, email address, telephone number, city/state, and any details you include in messages.
- Professional data — resume/CV, work and project history, trade licenses and certifications and their status, references, availability, rate expectations, and right-to-work information you choose to share.
- Communications — records of your calls, emails, and texts with us, and your preferences (including consent to be contacted by phone or SMS).
Information we collect automatically
- Device and usage data — IP address, browser and device type, pages viewed, referring URLs, and dates/times, collected through cookies and similar technologies (see Section 5 and our Cookie Policy).
Information from third parties
- Public sources such as state license registries and professional directories used to verify trade licensing.
- References you nominate, and clients or partners who refer candidates.
- Job boards or sourcing platforms where you have made information available.
We generally do not seek special categories of data. Where licensing, background, or right-to-work checks are involved, those are conducted with appropriate notice and, where required, your authorization.
3. How we use information
- Provide recruiting and staffing services, including sourcing, matching, and presenting candidates to clients;
- Contact you about roles and projects by phone, email, and — with your consent — text message (see SMS Terms);
- Verify trade licenses, certifications, references, and eligibility to work;
- Operate, secure, and improve our website and services and analyze usage;
- Comply with legal obligations and equal-opportunity and recordkeeping requirements; and
- Establish, exercise, or defend legal claims, and prevent fraud or misuse.
4. How we share information
We share personal information with:
- Clients (prospective employers) — to present you for, and place you in, roles you are interested in;
- Service providers / processors — vendors who host our site, send communications, or support our operations, under contracts that limit their use of the information;
- Professional advisors and authorities — where required to comply with law, respond to lawful requests, or protect rights and safety; and
- Business transfers — in connection with a merger, financing, or sale of assets, subject to this Policy.
We do not sell your personal information for money, and we do not share it for cross-context behavioral advertising, except as you may consent to through analytics/marketing cookies. If that changes, we will update this Policy and honor opt-out rights and the Global Privacy Control (GPC).
5. Cookies and analytics
We use essential cookies to operate the site and, with your consent, analytics and marketing cookies. You can manage your choices through our cookie banner or by following the steps in our Cookie Policy. We honor recognized opt-out preference signals such as GPC where required by law.
6. Calls and text messages
If you provide a phone number and consent, we may call or text you about relevant opportunities. Consent to receive marketing texts is never a condition of any service or placement. Message frequency varies; message and data rates may apply; reply STOP to opt out and HELP for help. See our SMS / Texting Terms.
7. Data retention
We keep personal information for as long as needed to provide our services and maintain our talent network, and thereafter as required to meet legal, tax, and recordkeeping obligations or to resolve disputes. Candidate records are retained for 3 years after your last activity unless you ask us to delete them sooner or a longer period is legally required.
8. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information appropriate to its sensitivity. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a portable copy of your personal information, to opt out of certain processing, and to not be discriminated against for exercising your rights.
California (CCPA/CPRA)
California residents may request to know, delete, and correct personal information, opt out of the “sale” or “sharing” of personal information, and limit the use of sensitive personal information. We do not sell or share personal information as those terms are defined; we will honor “Do Not Sell or Share My Personal Information” requests and GPC signals. You may use an authorized agent.
Virginia (VCDPA), Texas (TDPSA), and other states
Residents of Virginia, Texas, and other states with comprehensive privacy laws (e.g., Colorado, Connecticut, Oregon, Montana, and others as they take effect) have rights to access, correct, delete, and obtain a copy of their data, and to opt out of targeted advertising, sale, and certain profiling. If we deny a request, you may appeal by contacting us; we will respond within the timeframe required by your state's law.
How to exercise your rights
Submit a request to hello@copper-hare.com with “Privacy Request” in the subject line, or write to us at the address below. We will verify your identity before fulfilling a request and will respond within the time required by applicable law. We do not charge a fee for most requests.
10. Candidates and applicants
When we present you to a client, that client becomes an independent controller of your information and processes it under its own privacy practices. We make placements without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, genetic information, veteran status, or any other category protected by law (see our Equal Opportunity statement).
11. Children
Our site and services are intended for adults (18+) and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a minor has provided us information, contact us and we will delete it.
12. Changes and contact
We may update this Policy from time to time. Material changes will be posted here with a new “Last updated” date. Your continued use of the site after an update means you accept the revised Policy.
